Who we are

BillTheBill is operated by Numerra LLC, a limited liability company registered in Delaware, USA.

These terms are the agreement between you and us. By creating an account or using BillTheBill you accept them, so please read them — they are short on purpose.

These terms are written in English. If we publish a translation, the English version is the one that applies.

What BillTheBill does

BillTheBill lets you create, number, send and track invoices, save your business and client details, generate PDFs and credit notes, and — if you choose to — collect payment from your clients through Stripe. It is a young product and we add, change and remove features as it grows.

Your account

You need to be at least 18 and able to enter into a contract. BillTheBill is for business use.

You sign in with a magic link or with Google. There is no password, which also means there is no password for us to lose — but it makes your email account the key to your BillTheBill account, so keep it secure.

You are responsible for everything that happens under your account and for keeping your details accurate. One account is for one person or business; please do not share logins. Tell us at once if you think someone else has got in.

Plans, billing and refunds

There is a free plan and a paid plan. The free plan is limited — at the time of writing, three sent invoices per billing period and one saved company profile. Current prices and what each plan includes are on our pricing page.

Your subscription is sold through Polar, our merchant of record. Polar is the seller for that transaction and handles sales tax and VAT on it. That means your receipt and your card statement will show Polar, not Numerra LLC — worth knowing before an unfamiliar name turns up on your statement. Polar's own checkout terms apply alongside these ones.

Paid plans renew automatically, monthly or annually depending on what you picked, until you cancel. You can cancel any time in your billing settings: you keep paid features until the end of the period you have already paid for, and the account then returns to the free plan. We may change prices, and we will tell you before a change affects you.

Refunds. If you are not happy in your first 14 days on a paid plan, email us and we will refund you. No form and no interrogation. After that, get in touch anyway — we would much rather sort something out than have you feel stuck.

Getting paid through Stripe

If you switch on payments, your clients pay you through Stripe. It is worth being precise about who does what:

  • We are not a payment processor and we never hold your money. Charges are made on your own Stripe account and the money lands there directly.
  • Stripe verifies you, sets its fees and owns that account relationship. Stripe's terms govern it, and you need to keep to them.
  • We take no cut of what your clients pay you.
  • If a client disputes a charge, that is between you, your client and Stripe: the chargeback and Stripe's fees come off your account, not ours, and we do not carry the loss. You can refund a client yourself by issuing a credit note against a paid invoice. What we cannot do is release, recover or reverse money that has already moved on your behalf.

Your data is yours

Everything you put into BillTheBill — your invoices, your clients, your business details, your logo — belongs to you. We do not sell it, we do not mine it, and we do not use it to train anything. We look at it only when running the service requires it or when you ask us for help with something.

You can export your data from your settings whenever you like, and deleting your account genuinely deletes it. The Privacy Policy sets out exactly what we hold, who else touches it and what happens when you leave.

Acceptable use

Please do not use BillTheBill to:

  • invoice for anything fraudulent or illegal, or impersonate someone else;
  • send unsolicited bulk email;
  • work around plan limits, or share one account across separate businesses;
  • attack, overload, scrape or reverse-engineer the service;
  • resell or rebrand BillTheBill as your own.

The software, design and branding are ours; your content is yours. We may close an account that does any of the above.

We are not your accountant or your lawyer

BillTheBill is a tool for producing invoices. Nothing in the product, in our emails or on this site is tax, accounting or legal advice.

Invoicing rules differ by country and change often. You are responsible for whether your invoices are valid where you and your clients are, for the tax rates and numbering you use, and for what you must keep and report.

In particular, BillTheBill does not do fiscalization — real-time reporting to a tax authority, certified signing devices, mandated e-invoicing formats. That is deliberate and it is not on the roadmap. If your country requires it, BillTheBill is not the right tool for you on its own.

No warranty, and the limits of what we owe you

BillTheBill is provided as it is. We care about it and we work on it constantly, but we do not promise that it will be uninterrupted, error-free or right for your particular situation.

We may change, suspend or discontinue the service. If we ever shut it down for good, we will give you notice and enough time to export your data.

As far as the law allows, Numerra LLC is not liable for lost profits, lost business, lost or corrupted data, or any indirect or consequential loss. Our total liability to you, for everything combined, is limited to what you actually paid for BillTheBill — through Polar — in the twelve months before the claim. On the free plan that is nothing — which is a blunt way of saying: keep your own copies of anything you cannot afford to lose.

Nothing here limits liability that cannot legally be limited, including for fraud.

Ending this agreement

You can leave whenever you want: cancel your subscription, or delete your account outright, both from settings. Deletion is permanent, so export first.

We may suspend or close an account that breaks these terms, is used fraudulently, or has not paid. Unless the account is being used for something abusive or illegal, we will email you first and give you a chance to get your data out.

Changes to these terms

We will update these terms as the product changes; the date at the top of this page tells you when we last did. For anything significant we will email account holders or show a notice in the app before it takes effect. If you carry on using BillTheBill after that, the new version applies.

Governing law

These terms are governed by the laws of the State of Delaware, USA, and disputes go to the courts of that state. If you are a consumer in the EU or the UK, this does not remove the protections your own law gives you.

If any part of these terms turns out to be unenforceable, the rest of them still stand.
